Additional information for this website

School enquiries and AI guidance

School booking enquiries collect your name, email, school name, location, selected program and enquiry text. These are stored in Safe on Social’s customer relationship system (Sperse) and its portal database, separate from the AI advisor, for authorised handling of your enquiry. To understand how people find us, the enquiry also records the page you arrived on, the referring site, your browser type and IP address. Please do not submit information identifying children or details of individual safeguarding incidents. No newsletter subscription is created by this form.

The AI advisor sends your de-identified summary, year levels and optional country or region from our server to Anthropic (Claude) to generate recommendations. Consent is required before sending. Concerns and recommendations are not saved in application storage or browser storage; they remain on screen for the current page session. This does not promise that hosting or AI provider services retain no operational or security records.

The application does not store your concern or recommendations. Your light or dark appearance preference is saved locally in your browser. Visits to this site are recorded in Safe on Social’s customer relationship system (pages viewed, referring site, campaign or referral codes, browser type and approximate location) to measure and attribute interest in our programs.

The Schools map requests map tiles from ArcGIS. Your browser connects to that service, which can receive technical information such as your IP address. External sites and service providers have their own data practices.

School, parent, team and administrator accounts

Portal accounts store your sign-in identity, display name, school name when provided, country or region, selected priorities, consent timestamp and onboarding completion. Access roles and approval status are stored separately. You can read your own profile; authorised administrators can review profile details and access requests. Please do not include children’s personal information or confidential safeguarding concerns.

Invitations store the intended email address, school or parent access type, issuing administrator, creation and expiry dates, and redemption status. A protected representation of the invitation token is stored, not the invitation link itself. Invitation links are email-bound, single-use and expire after seven days.

This portal does not replace Community Connect memberships or transfer credentials, paid resources or access rights from the existing member portal. Your sign-in identity and password are managed by Safe on Social’s account service (Sperse), which also sends account and sign-in emails. A secure session cookie maintains your sign-in, separately from the locally saved appearance preference.

Team accounts use a separate staff portal. Staff profiles store your name, job title, region and consent timestamp. Each team member can read and update only their own staff profile. Team invitations are issued by administrators, tied to an email address, single-use and valid for seven days.

Newsletter signup stores your email address, the page you signed up from, and consent and creation timestamps privately in Safe on Social’s customer relationship system and portal database. It is separate from portal registration and booking enquiries. Signup records your request to receive updates; it does not itself send an email. You can withdraw consent or request removal using the privacy contact below.

For questions about access, correction, deletion or retention of enquiry information, contact kirra@safeonsocial.com under the original policy above.
